Roles and permissions

A clear map of ApexityEdu roles and the access each role has.

ApexityEdu has nine roles. Each account has one role, and the role determines which parts of the school application the account can access.

The roles are:

Administrator

The administrator has school-wide access, including:

  • People
  • Academics Setup
  • Attendance and attendance configuration
  • Fees Setup
  • Exams Setup
  • Routines
  • Reports
  • Inventory
  • Devices
  • Files
  • Promotion
  • Settings
  • Gateways
  • Salary Tracker
  • Bulk Print
  • Templates
  • Admissions
  • SMS
  • Leave

Feature flags can hide an entire module for a school. A disabled feature is not shown in the navigation.

Accountant

Accountants handle school finance and related administrative tasks:

  • People — add and edit students, teachers, staff and guardians.
  • Fees Setup — fee structures, payments, waivers, refunds and ledgers.
  • Exams Setup — exam administration and certificate printing.
  • Salary Tracker — salaries, deductions and payments.
  • Bulk Print — admit cards, exam routines, results and profiles.
  • Reports — financial and operational reports.
  • Routine — read-only timetable access.

Teacher

Teachers have access to the teaching workflow:

  • Academics — classes and subjects assigned to them.
  • Attendance — first-period attendance for eligible classes.
  • Homework — create assignments and mark submissions.
  • Quizzes — create quizzes, review submissions and create ad-hoc results.
  • Exams — enter marks for subjects they are mapped to teach.
  • Routine — read-only view of their own teaching schedule.
  • Syllabus, Notices, SMS, Leave and permitted Reports.

Teacher subject mappings

A teacher must have a subject mapping for a class/section before they can enter marks for that subject. The mapping connects the teacher, subject and class (and can include a section).

Administrators create these mappings in Academics Setup → Mappings. Simply having a teacher account, or having the subject assigned to the class, does not by itself give the teacher permission to enter that subject’s marks.

Manager

Managers handle school operations rather than teaching or finance. Their access includes:

  • People — view school records.
  • Admissions — review applications.
  • Exams Setup — exam administration and certificate printing.
  • Inventory and Devices.
  • Health.
  • Salary Tracker.
  • Reports and Routine.
  • Syllabus, Notices and SMS.
  • Leave and other modules enabled for the role.

Staff

Staff have a personal, non-administrative workflow:

  • Attendance — their own attendance record.
  • Notices — read school announcements.
  • Leave — submit leave requests and track them.
  • Salary — view their salary status when salary tracking applies to them.
  • Feedback — send feedback and read responses.

Staff do not manage classes, routines, devices, people or school-wide salary data.

Librarian

Librarians manage the Library catalogue, issues and returns. They also have access to the student-facing modules needed to work with students, including Home, Academics, Attendance, Homework, Quizzes, Exams, Fees, Notices, Feedback, Health, Leave and Syllabus.

Student

Students can access their own:

  • Profile and academic information
  • Classes, subjects and routine
  • Attendance
  • Homework and quizzes
  • Exam results and transcript
  • Fees and payments
  • Library
  • Notices, feedback, health, leave and syllabus content

Super administrator

The super administrator operates the platform across schools. This includes school provisioning, feature availability and platform-level administration.

Guardian / public access

Public users do not use the normal school dashboard. Public flows can include admission forms, published result lookup and online fee payment, depending on the school’s configuration.

Changing a role

An administrator can change a user’s role from People → Users → Change role or use the bulk Set role action. A user’s account remains the same; only its permissions change.
