Administrator guide
The administrator's complete toolkit for setting up and running a school in ApexityEdu.
A role-specific guide: everything this kind of ApexityEdu user can see and do.
The administrator runs the whole school and sees every module. This page is your map: it lists what you can do and links to the step-by-step guide for each task.
Getting your school ready
The first time you sign in, set the school up in roughly this order:
- Settings — school name, contact details and logo.
- Academics Setup — classes, sections and subjects.
- People — add students, teachers, staff and guardians.
- Fees Setup — fee structures and fines.
- Attendance — schedule, devices, off days and holidays.
- Gateways — connect SMS and payment providers.
- Templates — customise the documents you print.
Each of these is a separate guide (see below). You can do them in any order, but this sequence avoids rework.

Responsibilities that only the administrator has
A few things are administrator-only:
- Academics Setup, Files, Promote, Settings and Gateways are not visible to other roles.
- Building the routine (teachers only see a read-only view).
- Configuring automatic SMS and its master switch.
- Choosing leave approvers — which specific users may approve or reject leave (administrators can always do both).
- Attendance tracking exemptions — exempting specific staff accounts from being tracked.
- Connecting gateways — pasting provider URLs and storing their credentials.
Feature flags
If a tab is missing entirely, the super administrator has disabled that feature for your school. Ask them to enable it.
Day-to-day tasks
- Mark attendance — the full manual marking screen is available to admins.
- Close the attendance day — mark un-punched students absent (usually automatic; see Attendance).
- Send notices and SMS to keep the school informed.
- Print documents — certificates, receipts and profiles, one-off or in bulk.
- Review reports to spot trends in attendance and fee collection.
