How-to guide

People

Add and manage students, teachers, staff and guardians.

A task-focused guide: follow the steps when you need to get something done.

The People screen is where everyone in the school lives. Administrators and accountants have full access; staff can search and view.

The People screen

Open People (Admin → People) to:

  • Search by name or roll number.
  • Filter by role (students, teachers, staff, guardians).
  • Open any person’s drawer to see and edit their full record.
  • Perform bulk actions.

Adding a student

  1. Open People → Add student.
  2. Fill in the details:
    • Names — English name and (optionally) the local/Bengali name.
    • Class and section — which class/section the student belongs to.
    • Roll number and student ID — the ID is used for public results and fee lookups, so keep it consistent.
    • Guardians — at least one guardian, with relation and phone number.
    • Contact and health details as required by your school.
  3. Upload a photo (optional). Photos must be cropped to a square in the browser (drag to position, zoom) before saving; they are stored at 512×512.
  4. Save.

Adding a teacher or staff member

  1. Open People → Add teacher (or Add staff).
  2. Fill in their details — name, local name, designation, subject(s) for teachers, phone, and so on.
  3. Save. This creates their login account; give them their sign-in details (and note they’ll set their own password on first login).

Tags

Tags are free-form labels you define once and then stick on students — “Scholarship”, “Hostel”, “Bus route A”, anything your school needs.

  1. Open People → Tags → New tag, type any name, pick a colour, save.
  2. Apply tags to a student from their drawer (Tags → Edit tags), or to many students at once by selecting them in the Students list and choosing Set tags (add / remove / replace).

Once a tag exists it can be targeted elsewhere:

  • Fees — a fee configuration can be charged to “everyone tagged Hostel” (see Fees).
  • Certificates — templates can print a student’s tags.

One user, one role

Every account has exactly one role. To change it, open the user on the Users tab and choose Change role (or select several users and use the bulk Set role action). Changing a role never changes the person’s ID.

Guardians

Guardians are linked to students:

  • Add guardians while adding a student, or edit a student later.
  • A guardian panel groups every student linked to one guardian: search for the guardian and open their drawer to see all their children and edit the guardian.
  • Guardians receive attendance and admission SMS, so their phone number must be correct.

Editing a person

  1. Find the person in the list.
  2. Open their drawer.
  3. Change any field and Save.

Role changes refresh the page so permissions are applied immediately.

Resetting a password

From a person’s drawer, use Reset password. The system generates a new password for the user — it never pre-fills a preset password into a form.

Deleting a person

Every removal is a real Delete (there is no “archive”):

  1. Open the person’s drawer.
  2. Choose Delete.
  3. Confirm the confirmation dialog — this is permanent and cannot be undone.

Deleting is permanent

Deleting a student removes their record. Only delete when you are sure; there is no undo.

From the People drawer

The People drawer also lets you, for any student:

  • Print profile — a built-in A4 profile sheet with photos, guardians, snapshot KPIs, results and signature blocks.
  • Print admit card — for a specific student and exam term.
  • Print essential certificates — attestation, transfer certificate and testimonial together in one print prompt.

Tips

  • Use roll-number search to find a student quickly.
  • Selecting a person no longer reloads the whole list, so bulk selection is fast.
  • Keep guardian phone numbers accurate — automatic SMS depends on them.
